Ok, the first thing to do is to make sure you have the name of the bank manager. This will also allow you to be able to contact the bank if you don't hear from them and request to speak to the bank manager by name. In terms of the letter itself, it is probably easiest for me to give you a step-by-step guide of what to include:

- Use a formal layout; so address at the top, with contact number and date. You will also need to include details about your account; this can be done either at the top or at the bottom. Ensure the date is under the address so that they know when the letter was compiled.
- Start the letter with Dear sir/ madam (although use their name if possible).
- Begin the first sentence with something like 'I am writing to request that you issue me with an ATM card for the above/ below account'.
- If you have lost your previous ATM card inform them of this and request it is canceled (this should however have been reported by you much sooner than this). If you are applying for an ATM card for the first time mention you are a valued customer and would like to receive an ATM card for the given account.
- If you have any information relevant to your individual circumstances include this here.
- Write a finishing sentence such as 'Thank you in advance for your time and consideration' and then finish with yours sincerely or faithfully and your name.

This format should be fine for such a request, a long letter is not required; a short and to the point one will do just as well.

There are two key things to remember when writing an ATM card request letter - keep it concise and include all of your bank details.

  • Start with your address
As in all letters to a business, you need to put your full postal address at the very top of the page. Make sure you use the address that the bank has for you. If you have moved, you will need to inform the bank before you send this letter. It may also be useful to include your telephone number here in case the bank needs to contact you.

  • Include the date
This is important in case the bank files your letter for some reason. The paper trail, or digital trail these days, is everything in banking and the date is a key piece of information in any correspondence.

  • Write to the right person
Call the bank ahead and find out who you should be addressing your letter to. Get a name and then start your letter Dear Mr Jones or whoever. This may speed up your application because less time will be spent in getting your request in front of the right pair of eyes.

  • Explain what you want
This is easy, say something like: I am writing this letter to you in order to make a request for an ATM card.

  • Include your bank details
This means your account number and sort code. If you can remember which branch opened the account for you, include that as well. Essentially though, the account number and sort code combined with your name and address will be sufficient for someone working at the bank to find your details and assess your application.

  • Sign off correctly
This means say 'Yours sincerely' if you addressed the letter to a specific person. If you used the more vague 'Dear sir or madam' then sign off with 'Yours faithfully'. Now sign your name at the bottom and print it underneath.

Hi there Preethi,  - Dear Sir/Madam, I've been recommended to you to apply for an ATM card, and perhaps you could send me an application form, so that I can make a formal application. Is there any special information I need to gather to give to you, like identification. I know different companies have some variations. I look forward to hearing from you soon.

You could say 'yours faithfully' for that's very formal or 'Yours Sincerely,' for we are all not so formal these days. Good Luck.

You should be able to send a message on the banks web site....and save urself some time and a stamp...

Physically walk into your bank and ask to see your accounts/manager. Then tell them you would like a new card, they will ask you some questions and then cancel your old cards and give you a new card and take you to the ATM (if you don't know the procedure to change your password) so you can enter your new cards password and then your set. Just did this as I received a card that had the old numbers on it. Now I have a new card and a new password protect account with it. Took less than fifteen minutes from the time I walked into the bank. At least this is how I did it instead of shall we say sending secure information through snail mail. Just my opinion as most bank branches are less than 3 miles from my house. This also makes sure your accounts manager knows your face when letting someone access your accounts. Just saying.
